Reporting To Executive Director
Main Function
Under direction, provide management, and leadership in the administrative, business planning, budgeting, and automation efforts of a major, strategic business or operating unit within SDSC. Directs the activities of a variety of special service and centralized human resource and administrative support functions.
KEY DUTIES AND RESPONSIBILITIES
(Without limiting the generality of the above)
- Oversees the supervision of personnel, which includes work allocation, training & development and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance.
- To co-ordinate the annual Staff Performance appraisal and follow-up on recommendations pertaining to merit increases and promotions.
- Co-ordinate HR sub-committee, Office Bearers (OB) and Exco Meetings.
- To process and payment of staff salaries, bonuses and other allowances.
- Develop, update HR and administrate policies, procedures and programs. Ensure proper understanding and respect of HR policies, procedures and workflow.
- To co-ordinate the recruitment and selection process, including recruitment advertisements, collate and shortlist job applications; interview short-listed candidates together with Executive Director & Supervisors; review and recommend appropriate employment offers to selected candidates; administer internal applications and oversee the recruitment of temporary staff.
- To administer the end of employment for staff, temporary staff and student attachments process including preparing the IR8A(tax returns) and conducting exit interviews.
- Manage modifications to physical layouts, such office expansions/moves/re-configurations. Supervise all general contractors associated with such projects.
- Negotiate, administer and monitor service agreements with office equipment companies, telephone representatives and other suppliers. Perform front-line purchasing functions and closely co-ordinate these with department heads to facilitate all purchasing requirements.
- Oversee the upkeep, maintenance and general appearance of all office, work, reception and other common areas, including interacting with building management, building services and outside maintenance to accomplish desired results.li>
- Administer all allocation of offices and work stations as well as other common office resources such as telephone, file space, storage, office equipment & supplies. Ensure and co-ordinate the training of all administrative support personnel in the operation of office equipment e.g. photocopier machines.
- Monitor/manage maintenance, upkeep & use of company vehicles.
- Performs miscellaneous job-related duties as assigned.
